Running a technology pilot on one nursing home unit

How to choose a unit, set goals, involve staff and judge results when you trial new technology in a nursing home.

New technology in a nursing home succeeds or fails on the floor, not in a demo. A focused pilot on one unit is the best way to find out whether something actually helps. Here’s how to run one well — whatever you’re testing.

Choose the right unit

Pick a unit that’s representative but not in crisis. You want typical residents, a reasonably stable team, and a manager who has the time to pay attention. Avoid a unit going through a major change at the same time, so you can tell what made the difference.

Agree on goals before you start

Write down two or three questions you want answered. For a request system, they might be:

  • Do staff find it faster to know what residents need?
  • How long do requests wait before someone takes them, and does that change over the pilot?
  • Do residents use it, and do they find it easy?

Decide up front what “good enough to continue” looks like. It keeps the final conversation honest.

Find a champion

Every successful pilot has someone on the unit who cares about it: they collect feedback, notice problems early, and help colleagues who are unsure. Give them time to do it.

Involve staff early

Explain why you’re trying it, what it is and isn’t for, and how their feedback will be used. Be explicit that the goal is to help them, not to monitor them.

Tell residents and families

Explain in plain language what the technology does, especially anything involving microphones or data. Make it easy to ask questions or opt out.

Look at the data — and the people

Numbers matter, but so does what staff and residents say. Hold short check-ins during the pilot, not just at the end. Look at the hardest cases: the longest waits, the confusing moments, the things that didn’t work.

Decide together

At the end, review the results against the goals you set. Continue, expand, adjust or stop — all are good outcomes if the decision is based on evidence.
